REMINDER: Requirement to Report Nursing Facility HCP Influenza Vaccination and Rest Home HCP Influenza and COVID-19 Vaccination

CDC

CMS and DPH require nursing facilities to report Health Care Personnel (HCP) influenza vaccination data via the CDC’s NHSN and make the data available to DPH in NHSN. Nursing facilities are required to submit healthcare personnel (HCP) influenza data to the CDC’s NHSN by May 15, 2025. NHSN training materials for reporting HCP influenza data through NHSN is located here. Please note – the MA long-term care facility licensure regulations do not allow for reporting an unknown vaccination status for HCP.

Rest Home Reporting

To comply with the long-term care facility licensure regulations, all Massachusetts rest homes must annually report their aggregate HCP COVID-19 and influenza data through Virtual Gateway’s Health Care Facility Reporting System (HCFRS) no later than May 15, 2025. For reporting users should create a new case and use the incident type “HCP COVID and influenza reporting.” Each licensed Rest Home is required to report the following:

For influenza:

  • Number of HCP who worked in the healthcare facility for at least 1 day between October 1, 2024 and March 31, 2025.
  • Number of HCP who received an updated 2024-2025 influenza vaccine as of March 31, 2025.
  • Number of HCP who are exempt from the influenza vaccine (unvaccinated at time of reporting).

For COVID-19:

  • Number of HCP who worked in the healthcare facility for at least 1 day between October 1, 2024 and March 31, 2025.
  • Number of HCP who are up-to-date with COVID-19 vaccine as of March 31, 2025.
  • Number of HCP who are exempt from being up-to-date with COVID-19 vaccine (unvaccinated at time of reporting).
